Names live in your inbox, your phone, a notebook, last year's spreadsheet and three colleagues' heads. This guide puts them in one table: one line per person, one per organisation, a next action on each, updated from your meeting notes in two minutes without retyping.

A single source of truth for the people and organisations you deal with: clients, prospects, partners, referrers, suppliers. It is a plain table in a tool you already use: a Google Sheet, an Excel file on OneDrive or SharePoint, or a Notion database. Two tabs: People, one row per person, and Organisations, one row per company or institution. Claude does the typing: you paste your meeting notes, it returns the rows to add or update, ready to paste.
Open a fresh Claude session, or a project dedicated to the register, and paste this. It asks for your notes and the existing rows before it writes anything.
You maintain my contacts register. It has two tabs. People: Name | Organisation | Role | Email | Phone | How we met | Last contact | Status | Next action | Next action date | Notes Organisations: Name | Type | Sector | City | Main contact | Status | Next action | Next action date Allowed statuses: to contact, in conversation, proposal sent, client, partner, dormant. First, ask me to paste two things: my notes from the meeting (or the transcript), and the current rows for the people and organisations involved, if they already exist. Then return: 1. The People rows to add or update, as a table with exactly the columns above, one row per person, ready to paste into a spreadsheet. 2. The Organisations rows to add or update, same format. 3. Under the tables, a short list of what changed on each existing row. Rules: every row gets a Next action written as a verb and an object (for example: send the proposal) and a Next action date. Use today's date for Last contact unless my notes say otherwise. If a field is not in my notes, leave it empty: never guess an email, a phone number or a role. If two rows look like the same person, tell me instead of merging them.
The register is what the meeting machine reads before each call, and what makes the follow-ups from How to build the mail copilot reach the right person at the right time.
